Two approaches to the same monthly task

Payroll software gives your team the tools to organise employee information, calculate pay and produce payroll outputs. Payroll outsourcing adds a provider who carries out agreed processing activities. Both approaches still need accurate information and a clear approval process. Start by deciding who will do the work each month and who will check the results.

When payroll software may suit your team

Software may suit a business with someone who understands its pay rules, can maintain employee records and has time to review monthly payroll. It can bring information together and make recurring tasks easier to manage. Ask to see your normal pay cycle and an exception, such as an unpaid leave adjustment, rather than judging the system from its dashboard alone.

When payroll outsourcing may be useful

A payroll service may be useful when your team needs help with recurring processing or has limited time available. Agree what the provider will prepare, what you must supply and who approves the final payroll. Ask how staff absences, late inputs, corrections and urgent questions will be handled. The service should fit your actual monthly workload.

Compare the full scope

Compare software subscriptions with software subscriptions, and managed services with equivalent managed services. Check employee and company limits, setup, migration, support and any additional work. Confirm whether the service includes software access, payslips, reports or filing activities. A low headline fee tells you little unless you know what it covers.

Use a practical business example

Imagine a small business where the office administrator gathers monthly pay inputs. With software, the administrator processes payroll and an authorised manager reviews it. With outsourcing, the administrator sends approved inputs to the provider, reviews the prepared outputs and obtains management approval. The important difference is who performs the processing, not whether the employer still participates.
