1. Confirm the company and payroll period
Start with the correct company, month and pay cycle. In SWMS, the payroll listing shows the cycle, batch and status, helping you identify the run you are reviewing. Agree your internal cut off and who will check the figures.
2. Check employee changes
Confirm new joiners, resignations and changes to employee details against your records. The SWMS HR dashboard shows workforce movement and employees by department. Use that view alongside your employee records when reviewing the month.
3. Gather approved pay and leave information
Gather approved salary changes, allowances, overtime and deductions before your cut off. Check leave records, including any unpaid leave relevant to the month. SWMS shows leave balances and request statuses; your payroll team should confirm the pay treatment against your company rules.
4. Review payslips and calculation details
Review earnings, deductions, employer contributions and net pay on the payslip. Use the MTD calculation report to inspect its inputs and breakdown. Compare unexpected differences with the previous period and resolve them before your final review.
5. Complete your internal checks
Confirm payroll totals and record who reviewed the run using your organisation’s process. Check the payroll status and retain the supporting records needed by your team.
